6 Ways To Jazz Up Your Asana For Sustainability

Today it’s all about six ways to jazz up your asana for sustainability. Now, With Asana, I often find that when business owners have used Asana and they have maybe felt that it’s just not right for them. A lot of the reason behind that is because they haven’t set up the foundations. When they have set up Asana, they’ve kind of jumped in and just sort of muddle through and figure this out.

And that can end up in disaster because you can end up with Asana, that’s just out of control. And then it doesn’t help at all really and not built as Asana for sustainability. It kind of keeps track of your tasks, but you really struggle, and you feel overwhelmed when you go in there. Because you don’t really have any clear system or way of knowing how to use it or what you’re doing in there. Or actually for Asana to be telling you what you’re doing at any one time. So that then leads to an Asana, that isn’t sustainable. And quite often it then leads to business owners say, No, this, this isn’t for me.

Off they go to go and find another tool. And the problem with that is, they’re going to do the same thing with another tool. It’s going to be a huge circle and they’re going to be overwhelmed, they’re going to be stressed out, they’re going to be closing in on burnout.

No one wants to be in that place. So that’s why I thought I would give you my six ways that you can really just up your asana to make sure that you are using Asana for sustainability within your business.

Now, if you know me you know that I use Asana, very heavily in my business and Asana is the glue that keeps all the moving parts of my business together. It’s my central business hub, and ultimately everything in regards to the operations of my business will go through Asana, at some point.

1. Set up, consistently

Throughout your business. This is not just for Asana, this is for your entire business. Although you may be a one woman band or you may have a small team. A lot of the time, as business owners we don’t differentiate between the different departments within a business. Even though you may be a one woman band, you still have all these departments. Because they’re the operations of your business.

But what people end up doing is throwing in all their tasks as an example on Asana. Without actually showing where they belong. So, are they part of your sales, are they part of your marketing. Are they part of your finance, making sure that you’re following this specific strategy throughout your entire business makes everything consistent throughout?

And it makes it easy for you to find particular things.

Not only that but with Asana, when you set it out like that. It means that when you come to hire someone that’s going to help you so with yourselves. You can make sure that anything to do with the sale side of things is set up in your asana within sales. Otherwise, you’re going to have a team member that’s going to come in and they’re going to have to get involved and weed out the parts that stick that have to do with the sales. That takes time so that then costs you money. So making sure that you keep a consistent view throughout in how you are laying out your business how you are simplifying the name in the filing of things makes a huge difference.

2. Setting it up with the ability to delegate

Again, you might be saying, I’m a one woman band I don’t want a team. I will pretty much guarantee you that further down the line, you’re going to need at least one team member that’s going to be able to help you with certain things. Because ultimately as business owners, we are trying to be every single department within our business. And if it’s just us in our business. We can’t then scale the business we can only go to a certain level, and that’s completely fine, you may say you are happy with that and that’s where you want your business to be.

You then get to a point where your business starts to take over your life. And that’s because when you are doing your client work, which we’ll call billable work. You then get your non-billable work, and there are tonnes of non-billable work. So you end up spending all your spare time on non-billable work. And that’s when you really want to be looking at, okay, I need some support with this admin operation side of things. So that’s when you may then look to hire a team.

But what I will say for every business owner is, no matter if you, if you’re adamant that you don’t want to team member.

Make sure that you are creating an operation that enables you to delegate if you choose to.

You want to keep the door open, because, although where you are at the moment, you may have a completely different plan for your business in a month’s time in a year’s time.

It may take you in a different direction, and how frustrating will it be if you haven’t set your business foundations up for that? You’re going to have to invest a lot more time into trying to unravel things to set up the foundations that are going to enable you to scale. So by making sure that you have created your asana, with the assumption that you are able to delegate, an easy, that’s really really important.

3. Create templates

Asana is super, super amazing. You can do so much in there with asana for sustainability. Creating templates means that you are able to keep the consistency throughout. And you were also able to compare strategies and return on investment. So for instance here if you have a template that you follow for your content marketing. Then you change that, that strategy up in a couple of month’s time.

But actually, you’re not sure if the new strategy is better than the old strategy. Or how that really weighs up because you have the templates there. And you have the metrics for a piece of content that was done with the old strategy and you have the metrics that have been done with a new strategy.

It means that you are able to compare the two, so you can see clearly, whether or not a particular strategy is working.

You can only do that when you have templates. And it also is a huge time saver because it means that you’re not constantly reinventing the wheel, you’re not constantly thinking about what you need to do. Sure. These templates may change for a particular situation. As an example here, it could be a launch template. If you have your product launch template set up. But actually, there’s a little tweak that you want to do, then change it. Having the template there to give you the foundations or kind of starting point. Really, really helps to be able to keep the sustainability within Asana, and within your business.

4. Responsibilities are communicated

Now, within Asana, you can assign particular tasks to your team which makes asana for sustainability. If you have team members. You’re going to want to make sure that you give them responsibilities because there’s no point in micromanaging. There’s no point in you bottlenecking yourself because you’re not going to get the value from that team member. Want to make sure that you are given a particular team member the responsibilities of a particular task, and that they are clear, what their responsibilities are with that task.

You can do that through Asana, really easily, just by assigning, and you can even write a little message at the bottom. Or communicate with them and just say, Hey, this is your responsibility. If you have any questions and let me know that you’ve completely unbottlenecked yourself. That person can go away, follow a particular system, and make sure that it’s done the way that you would want it done. They know that that’s expected of them.

5. Create a business hub

Now, you will hear me talk about this so much in my business hub and Asana. As I’ve mentioned keeps all the moving parts together. It creates clarity so when I have new team members join to work, on my account. I will be able to delegate particular tasks to that team member to be able to do. And it will clearly outline the steps that they need to take. But it will also outline the steps that are automated and that’s really really important because although that’s automated and action doesn’t need to be taken.

Sometimes you need to keep the automation maintained, and we’ve anything in business.

It might be that your tool needs to refresh with third-party integration for instance. And if your team member doesn’t know that that happens. They’re not going to know if something doesn’t happen in automation, why that’s not happened. Because they’re not even going to know these automated. So making sure that you keep all the moving parts together in a business hub that pretty much you spend the majority of your day in. This means that you have simplified your entire business. Because you don’t need to go scrambling looking for particular things that, that you have written or any No, I literally use Asana, for everything.

6. Make sure that you have integrated Asana, with particular apps that are going to make life easier for you

Now you can do a more advanced kind of integration with Asana through things like Zapier. But they also have integrated tools within Asana that you can connect. For instance here, so if you are time tracking, you are able to integrate toggle, which is a time tracking tool to your asana,

All you need to do in Asana is press the toggle button and then press the toggle button stop, and that then lists out the task that you were working on.

Everything’s automated from that point because it’s going to be in your toggle account and you’re going to know and have an accurate account of how long a particular task is taken. So you were then able to see whether or not that has taken longer than expected or whether or not the actual return that you’re getting from that is worth the time that’s been spent.
